Get your content into the hands of your learners by inviting, sharing, or enrolling them into your Coassemble courses. In this article, we’ll take a look at your options to help you decide which method is best for you. The options with a ⭐ are the most used.
Standard Enrollment (Found in the Share tab, Main dashboard, Users page) ⭐
Manually enroll and create accounts for your learners in Coassemble so that they can sign in and access assigned training. Users are enrolled using their email address and receive an email welcoming them to your course, prompting them to activate and log into their account.
Whether you enroll learners via a group or not will vary depending on a number of factors including; the size of your organization, the number of users you are training, and how many courses you have.
WHEN TO USE GROUPS: Creating specific learning pathways or segmentations of learners, operating under a franchise or team model that needs trainers to be able to manage and report on only specific learners in the platform
WHEN NOT TO USE GROUPS: You've only got a handful of learners and just a few courses (groups are unnecessary), you have a learner that needs to be treated differently than others, essentially you just don't need the added complexity of groups.
Enrollment Links (Found in the Share tab, Main dashboard, Users page for courses and groups) ⭐
The easiest way to streamline the enrollment process, enrollment links allow you to send a URL to a learner to sign up, create an account, and access training so that you can track and record their grades and completion data. Learners simply click on the link and are asked to provide their email address and set up a password all in one screen, allowing them to bypass the email activation process altogether.
How do I find the Course enrollment link?
To copy the enrollment link for a course, ready for sharing, select that Share arrow on the course card, and then 'Copy' next to 'Enroll with a link'. You can now copy and paste this link anywhere.
How do I find the Group enrollment link?
Enrollment links can be used to self-enroll learners into a course or self-enroll learners into a group. If using for a group, you do not need to add the learners to the group.
To copy the enrollment link for a group, navigate to the group on the Users tab. Click into the group, and select 'Add learner'. A modal will pop up, and you can click 'copy' next to 'Enroll with a link' to copy the Group enrollment link.
WHEN TO USE: Anytime you want learners to self-register for a course, selling courses and don’t want to set up an integration for enrollment, embedding into your own site to allow learners to self sign up for desired training.
Preview links
Preview links act as a quick, easy way to share your content when you don’t need to track or grade learner completions. These are perfect for sharing with stakeholders who need to review your course content. Learners click on the link to view the course without logging in - but remember, no login means no data. You can’t track their progress and it's not saved for them to return. If they don’t complete the course in one sitting, they’ll need to start again.
How do I get a preview link?
Select the Share arrow on a Course card. The Share modal will appear, and you can copy the preview link by selecting 'Copy' next to 'Get preview link'.
WHEN TO USE: Embed a demo of your course on your site, share with colleagues to review or provide feedback, distribute or embed content as an additional resource that isn’t required training
Zapier (Set up on Zapier.com)
You can use Zapier to automate enrollment, from a Google Sheet or Paperform (these are just some examples, but there are many more). There is no additional fee to use Zapier in Coassemble however Zapier does have different plans available at different price points.
WHEN TO USE: If you are already working from a spreadsheet and want to automate your enrollment process (with new hires for example), when the person enrolling new learners does not have access to Coassemble, if learners start the course on different dates (not cohort-based).
📖 Can I automate enrollments?
API (Found in the Advanced Integrations)
If you’ve got a team of tech-savvy individuals, our open API allows you to set up integrations and automation with your third-party platforms to automatically enroll learners in specific courses. From the learner’s perspective, they’ll access their training similarly to the manual enrollment process, signing into the app with an email/username and password. WHEN TO USE: You are one or you have a dev team who’s down to work with APIs, you’re looking to leverage a third-party platform (HR, CRM, your product, eCommerce site)
SCORM (Found in the Library)
Sharing via SCORM allows you to export a zip file package of your course material that you can upload into another LMS platform to deliver your training on. Your learners will take the course on the external platform. There is an additional fee for adding SCORM export to your account. Find out more about exporting SCORM in this article.
WHEN TO USE: Upload your courses to an external LMS, share or distribute with your clients or customers to leverage on their own external LMS platform (anything that’s not Coasssemble)
