What are Course notifications?

Course notifications are the notifications that are sent via email, and displayed in the application inside the notifications section. Course notifications are sent whenever something happens inside a course, whether it be a learner completing a course, or an assignment being graded by a trainer.

How to configure Global course notifications?

If you are a workspace Administrator, you will be able to set up global course notifications which will apply to every course in your workspace. These global settings can be overridden on each course if need be.

To configure global course notifications, navigate to Settings --> Workspace settings --> Global course notifications tab.

You'll notice that the notifications are broken up into 2 sections:

  1. Trainer notifications — the notifications sent to trainers when X happens.

  2. Learner notifications — the notifications sent to learners when X happens.

Next to each notification is a toggle switch that allows you to toggle the notification ON/OFF. For trainer notifications, there are additional options that allow you to send these notifications to only group trainers, or workspace trainers.

Below is a breakdown of the notifications sent to Trainers when:

  • They are removed from a course

  • A learner self-enrolls into a course

  • Learners start a course

  • Learners complete a course

  • Learners submit an assignment

  • Learners complete a module

Below is a breakdown of the notifications sent to Learners when:

  • They are enrolled in a new course

  • They are removed from a course

  • An assignment has been graded

Keep in mind that these settings can also be overridden for individual courses from the settings within each individual course.

Where will learners and trainers see notifications?

Trainers and learners will receive an email notification and an in-app notification (accessible from the bell icon) when applicable. Each notification is clickable and will take the user to the associated screen. Even if learners/trainers turn off their email notifications from their profile, they will still be able to access the in-app notifications.

⚠️ Even if ALL notifications are off, trainers & learners will still receive the initial email invitation to your workspace, unless you are using enrollment links or enrolling via the API/Zapier and have switched this off, or have turned this off for SAML.

Best practices for setting up notifications

  • Check your notification settings before you enroll your first learner. If you have the course enrollment notification turned off when you enroll a learner and then you turn it off afterwards, the system won't send a retroactive email.

  • Don't mess with course overrides unless you have to. Stick to workspace/global notifications if you want all notifications to be the same across courses

  • If you are not using groups, be sure that the Workspace trainer options are ticked. This is ideal if you are the only Administrator in your workspace, or you've only got a handful. If some of the trainers are not interested in receiving those emails, they can still turn them off in their profile. A workspace trainer is anyone with at least the Teach permission.

  • If you are using groups and only want trainers to be notified about actions from the learners in their groups, be sure that the Group trainer options are ticked. This is ideal if you have LOTS of trainers in your workspace, and don't want to overwhelm them with unnecessary emails. It's also very efficient since trainers can easily access reports/assignments from the clickable button in the notifications.

  • If you move learners across groups, make sure to turn off notifications for trainers & learners so they don't get bombarded by notifications for being removed from and enrolled into a course.

  • If you want to send customized email notifications, just turn off ALL notifications in your workspace, and use Zapier/API to fire out your own emails.
