How do I archive or delete a Course?

Sometimes, it can be time to do an audit and tidy your Workspace. You may have old Courses that are no longer required, or even practice courses that have been built by some of your team members as they develop their authoring skills. Never fear! It's easy to tidy up your Workspace. There are some important things to be aware of before you start to Spring clean.

Some key things to remember 🔑

  • A note on reporting! Before archiving your Course, we recommend exporting the Learner reports if granular reporting is required. Reporting isn’t accessible when a Course is archived.

  • Once you have archived a Course, learners who have completed the course will not have access to the course materials. The Course is no longer visible on the Learner dashboard once it has been archived. So, if you want your learners to be able to have ongoing access to a Course for revision or other reasons, do not archive it.

  • Modules within your Course will not be deleted when archiving a Course. They will still exist in the Library in your Workspace.

Archiving a Course

If you do want to archive your course, it's a simple 2-step action.

Step 1: Select the three dots on the Course card, then 'Archive course'.

Step 2: Read through the information about archiving a course. Once you are happy to do so, select 'Confirm'.

Retrieving an archived course

If you need to retrieve an archived course, this can be easily achieved by following these steps:

Step 1: Change the filter from 'Published courses' to 'Archived courses'.

Step 2: Hover over the Course card and you can select 'Restore'.

Note: If you select 'Delete' instead of 'Restore', your Course will be permanently deleted and this action cannot be reversed.

Step 3: Select 'Restore course'. Your Course will then be restored and appear in your Published courses list.

Using your Folders

Sometimes, you may want to retire a Course from being used but you do not want to archive it using our in-app functionality (i.e. you would still like learners to have the Course appear on their dashboard). We strongly encourage you to use Folders as a way of keeping your Courses and modules (Lessons, Quizzes, Assignments) organized, and they can be applied in this instance. Here are some examples:

  • You may have a folder for retired courses. You might name it Retired Courses or Archive.

  • If you roll out new versions of particular Courses each year, it may benefit your organization to have a folder named after each year, for example, 2021 Training.
